The Trust uses the Trac electronic recruitment system to handle all applications that are submitted either directly through Trac or through NHS Jobs. This is a secure portal – please refer to the Privacy Notice for Trac for further details

Your application 

We will manage personally identifiable information throughout the job application process. The information is required to help us recruit, perform necessary employment checks, arrange a contract of employment and fulfil legal/regulatory requirements. These are necessary steps prior to being able to establish, continue or vary a contract of employment.

The personal information we collect on your application form will include: name, contact details, address, national insurance number, professional registration status (if appropriate), education and work history. 

What we do with this information

Some of your personal details will be available to the shortlisting panel, and to the interview panel during assessment. The recruitment team will also have access to your information for the purpose of progressing you through each stage of the application process. 

Job applications are stored electronically for 12 months before being automatically deleted from the system. 

Pre-employment checks

If you are successful for a role with us, we are required to complete pre-employment checks to satisfy the terms of your offer. 

These checks may include: right-to-work (immigration), criminal records (DBS), professional registration, qualifications, references, work health assessment.

More information or documentation, such as proof of identity will be requested for all advertised posts. 

Select information may be shared with third party organisations such as the Police and the UK Home Office where they assist us with these checks.  

Preparing you to start in role

To ensure you can begin work, induction training and some administrative requirements are completed. Some information will be requested from you at that time, such as bank details for your salary payments and emergency contact details in case you have an emergency at work. The information for those recruited is entered onto the ESR (Employee Staff Record) system and other records keeping systems. If you do not provide information as needed, this may hinder or prevent your application or employment.

Registering your interest 

In some special cases we may collect and store personal information outside of Trac. 

For example, when signing up to an event or by expressing an interest in a recruitment marketing campaign. 

In these cases, your details will be held securely in a password protected file and be removed from the system in three months, unless you have consented to receive further marketing communications via our talent database. 

Disclosure of Information

We will not disclose personal information about you to any third party apart from with the Police or other law enforcement agencies if required to do so. 

Your rights 

The personal data you provide will be managed as required by Data Protection law.

You have the right to request:

  • a copy of the personal data we hold about you 
  • any changes to your application form you believe is not correct at the time you provided it
  • deletion of your personal data if you believe we are keeping it for longer than necessary

Changes to the privacy statement 

We reserve the right to make changes to the privacy policy if required. Any changes which we make to the privacy policy will be shown on this page.
